APEX UAV

Privacy Policy

Last updated October 28, 2026

Apex UAV LLC ("Apex UAV," "we," "us") is a small drone photography business in Ormond Beach, Florida. This page explains what information we collect through our website and bookings, why, and what we do with it. The short version: we use your information only to run your job and talk with you. We never sell it, rent it, trade it or give it to anyone, for any reason, except the narrow cases listed under "We never sell or give out your information" below.

How we protect your information

Protecting our customers' and pilots' information is one of the most important things we do. Here's how:

What we collect

How we use it

Apart from the booking reminder and birthday email above, which you can stop any time, we don't send marketing email unless you ask us to.

Who else handles it

These companies only run a part of our service for us. They may use your information only to do that job, never for their own marketing. Each has its own privacy policy.

We never sell or give out your information

We will never sell, rent, trade or give away any customer's or pilot's information to any person, company or organization. That includes advertisers, data brokers, lead sellers, other drone companies and anyone who asks to buy a list. The only times anyone outside Apex sees your information are:

If Apex is ever sold or merged, your information would only move to the new owner under this same promise, and we'd tell you first.

Text messages

We only text you about a booking if you tick "Text me about this booking" when you book. That covers your confirmation, the day-before reminder, weather or schedule changes, and anything you need to approve, such as a price change. It's usually 2 to 6 texts per booking. Message and data rates may apply. Reply STOP to stop texts, or HELP for help. You can also call or text (386) 243-5716. You don't have to agree to texts to book.

We never send marketing texts. We don't sell, rent or share your mobile number or your permission to text with anyone for their marketing. Twilio only uses it to deliver our messages.

Your Apex account

If you sign in to your account, we use your email to send a one-time sign-in code, or you can sign in with Google, Apple or Facebook, which share only your name and email with us. There's no password to store. If you sign up as a business, we also keep your business name. Your account shows only the jobs booked with your email, and the folders you create. Nobody else can see them except the Apex UAV team running your job. Photos from your jobs are stored privately and shared only through your account or links you choose to share. If you turn on a gallery share link, anyone you send it to can view and download those photos (never your street address or contact details) until you turn it off.

We will never sell, rent or trade your information, and we don't use it for anything except running your jobs and talking with you. You can delete your account yourself at any time from My account. That permanently removes your name, contact details, addresses, notes, folders, photos, video links and sign-in. We keep only the dollar amount and date of past jobs, with nothing that identifies you, because businesses are required to keep income records for taxes.

Pilot network jobs

When someone posts a job on the pilot network, we store the property address, the homeowner's name and contact details, and the job notes so a pilot can fly it. The homeowner's signed consent (their typed name and the date and time) is kept as a record. Only the customer who posted the job, the pilot who claims it, and the Apex UAV team can see those details. If a network pilot flies your booking, that pilot gets your name, the property address, your phone number and your job notes, only so they can do that job. Pilots browsing open jobs see only the city, state and ZIP code until they claim a job, and only pilots who have passed our checks (ID, FAA certificate, insurance and drone registration, plus approval by Apex) can claim one. Pilot applications (name, contact details, service areas, FAA certificate, insurance and drone details) are seen only by the Apex UAV team, except as described under "Proof of credentials" below. To figure distance, we use the center of a pilot's home ZIP code, never their street address. Customers are never told where a pilot lives. Pilots also upload a photo of their driver's license and FAA certificate. These are stored privately, seen only by the Apex UAV team, and the license photo is deleted 30 days after the pilot is cleared.

Pilot insurance, drones and flight logs. Pilots upload a copy of their liability insurance policy and add each drone they fly (model, serial number, FAA registration number and expiration, Remote ID details and a photo of the registration label). These are stored privately and used to check that every flight is legal and insured. Flight logs (times, location, altitude, drone, pre-flight checks, any incident and any flight-record files the pilot uploads) are kept for at least 3 years so we can answer questions from the FAA, insurers or customers, and are shown to the FAA when federal drone rules require it. Any other authority gets them only with legal paperwork, as described under "We never sell or give out your information."

Proof of credentials. If a customer asks for proof that their pilot is licensed and insured, we email the customer on that job the pilot's name, Part 107 certificate number, insurance company, policy number, coverage, expiration date, a link to the policy copy that stops working after 7 days, and the FAA registration numbers of their drones. Signed-in customers can also see a short pilot profile: first name and last initial, city, and whether the pilot's license, insurance and drone registrations are current. Phone numbers, email addresses, home addresses, and ID photos are never shown to customers.

Training purchases

When you buy Part 107 training, we keep your email, what you bought, the price and the date, so your Training tab works on any device and so we have tax records. Square handles your card; we never see the card number. We don't sell this list or send you marketing unless you ask for it. Your practice test scores and flashcard progress are saved only in your own browser.

Affiliates

If you apply to our affiliate program, we keep your name, email, phone, how you plan to share your link, your payout details and your W-9, so we can pay you and send tax forms. Your W-9 is stored privately; only Apex UAV's owner and managers can see it. When a customer books through your link, we record that booking against your code so we can pay your commission. Customers' names and addresses aren't shared with affiliates; you see the package, the town and your commission.

Photos and video of your property

Footage we capture belongs to Apex UAV, as described in our Terms of Service. We only show your shoot in our portfolio if you say yes, and then only up to two photos and one short video clip, with no name or street address. This is true whether we flew your job or a pilot in our network did, and nothing goes up until your files are delivered. You can switch it off any time in My account, and those photos come off the website right away. We plan flights to focus on your property and don't record people in private spaces. If you spot yourself or your home in our portfolio and want it removed, email us and we'll take it down.

Reviews, job messages and pilot portfolios

Discount proof (veterans, military and first responders)

If you ask for the veteran, military or first responder discount, your pilot checks your proof at the shoot. For veterans, the pilot may take a photo in the Apex app of your driver's license or state ID showing the Veteran designation, or of your DD-214 with your Social Security number covered. For active-duty military and first responders, the pilot only looks at your ID. We never photograph or copy a military ID card, or any federal ID or badge.

Proof photos go straight to a private, locked storage area that only Apex can open. Pilots can't view them after they send them, and they're asked not to keep a copy. We use the photo only to confirm your discount, never for anything else, and we never sell or share it. We delete the photo as soon as we approve or decline it. After that we keep only a short note that the discount was verified, the type of proof and the date, so your bill is correct.

How long we keep it

We keep booking records and files for as long as needed to deliver your job and meet tax and legal requirements, usually up to 3 years. After that we delete them.

Your privacy rights

Wherever you live, you can ask us to:

We don't sell your personal information, and we don't share it for targeted advertising. So there's nothing you need to opt out of, but you can still ask us to confirm it.

How to ask. Email flyapexuav@gmail.com from the email on your account, or call (386) 243-5716. We'll check that the request really comes from you (usually by a code sent to your account email) before we share or delete anything, and we'll answer within 30 days. If we need more time, we'll tell you why. You can have someone you trust ask for you, with your written permission. Asking never costs anything, and we'll never treat you differently or charge you more for asking.

Cookies and similar storage

We don't use advertising or tracking cookies, and we don't let ad networks or data brokers track you on our site. That's why you don't see a cookie banner. What we do keep is only what the site needs to work, saved in your own browser (as "local storage" or "session storage," which work like cookies):

Our services are for adults. We don't knowingly collect information from anyone under 18.

Changes

If we change this policy, we'll update the date at the top of this page. If a change affects how we use information we already have, we'll email account holders before it takes effect.
